Depositing Outputs

Select a collection

Choose the destination collection or series that best matches the item type and governance context.

Prepare the metadata

Enter title, creators, affiliations, abstract, date, subjects, keywords, identifiers, and links to related Commons entities.

Upload files

Add the primary item and, where relevant, supplementary files such as appendices, datasets, methods notes, or supporting documentation.

Check completeness

Review the record for missing fields, naming consistency, and alignment between the item and its descriptive metadata.

Confirm rights

Accept the applicable deposit or licensing terms that govern access, reuse, and preservation.

Finalize and publish

The item is approved, assigned a persistent identifier, and made available in the live Repository.

Metadata and Curation

Curatorial concerns

  • Interoperability with external systems and services.
  • Accuracy of titles, authors, and dates.
  • Completeness of descriptive fields.
  • Consistency of subject terms and identifiers.
  • Preservation of file format and version information.

Discovering Content

Discovery is a core function of the Repository. Users should be able to find material quickly, whether they are searching broadly for background evidence or narrowing results to a specific type of output, topic, time period, or source.

The repository’s discovery experience depends on item-level description, collection architecture, and linking between related outputs. When metadata is well maintained, users can move from a search result to the item itself, and then onward to its originating Commons context or related derivative work.

Simple search

Search by keyword, author, title, or identifier.

Faceted filtering

Narrow by collection, date, subject, output type, or sector.

Curated collections

Browse thematic sets such as journal outputs, commissioned reports, or climate-related materials.

Linked records

Follow connections from repository items back to collaborative groups or commissioning projects.

Roles in the Repository Layer

Depositors

Repository Managers

Repository managers oversee collections, review submissions, enrich metadata, manage identifiers, and coordinate quality control with journal and commissioning workflows. They are the stewards of consistency and discoverability.

Discovery Users

Discovery users search, browse, cite, and reuse content. Their usage patterns help inform metadata tuning, collection design, and outreach priorities.

Institutional Partners

Institutional partners may engage in batch ingest, harvesting, or synchronization with local systems and databases. These workflows extend the Repository’s reach while preserving governance and consistency.

Good repository practice

  • Use accurate and descriptive titles.
  • Provide clear author and affiliation details where appropriate.
  • Add metadata that supports discovery and reuse.
  • Include version information when relevant.
  • Choose the appropriate access or licensing settings.
  • Deposit supporting files where they add value and context. five, or ten years, what will they need
  • Make sure the repository record reflects the work clearly and consistently.
  • Check that any linked materials, references, or related records are complete.
  • Use the repository to preserve context, not just content.
