Finding Documents

Q: How do I search for documents in the repository? A: Use the search bar on the Repository Library page. You can search by title, author, keyword, or category. For best results, use specific keywords (e.g., “Governance Framework” instead of “rules”).

Q: Are documents organized by category? A: Yes. The repository is divided into categories such as Governance, Legal, Operational, Training, and Community Contributions. You can browse by category or use the search function.

Q: Can I access older versions of documents? A: Yes. Zenodo preserves all versions of uploaded documents. Each DOI links to the latest version, but older versions remain accessible for transparency and historical reference.

Citing Documents

Q: How do I cite a document from the repository? A: Each finalized document stored in Zenodo has a DOI (Digital Object Identifier). Copy the DOI link (e.g., https://doi.org/10.5281/zenodo.1234567) and include it in your citation. This ensures your reference is permanent and globally recognized.

Q: Can I cite drafts from BuddyPress Docs? A: Drafts are collaborative and not considered final. Only documents uploaded to Zenodo with a DOI should be cited in official work.

Q: What citation style should I use? A: Use the citation style appropriate to your field (APA, MLA, Chicago, etc.). Zenodo provides ready‑made citation formats you can copy directly.

Uploading and Contributing

Q: How do I upload a document to the repository? A: Follow the steps in the Repository User Guide: prepare your file, upload it to Zenodo, add metadata, and then link or embed it back into the Commons Library.

Q: What file formats are accepted? A: Preferred formats are PDF for finalized documents, DOCX or Markdown for drafts, and CSV/XLSX for datasets. See the Repository Policies page for full details.

Q: What if my file is too large? A: Files larger than 10 MB should be uploaded directly to Zenodo. Only lightweight files should be stored on the Commons site itself.

Q: Who can contribute documents? A: Any registered member of the Commons can contribute, provided they follow repository policies and licensing requirements.

Troubleshooting

Q: My upload failed—what should I do? A: Check your file size and format against the repository policies. If the issue persists, try uploading directly to Zenodo and then linking the DOI back to the Commons.

Q: I can’t find my document after uploading. A: Ensure you added the correct metadata and linked the DOI back to the Commons Library. Documents uploaded to Zenodo will not appear in the Commons until they are linked or embedded.

Q: The document preview isn’t displaying correctly. A: Use the Zenodo embed code and paste it into the WordPress page in HTML mode. If issues continue, contact the Repository Manager for assistance.
