Introduction

Step‑by‑Step Instructions for Contributing

1. Prepare Your Document

  • Ensure your file is in a stable format (PDF, Word, Markdown, or dataset formats such as CSV).
  • Check that the content is complete, accurate, and ready for publication.
  • Review the Repository Policies page for file size limits, licensing requirements, and compliance standards.

2. Drafting in Commons (Optional)

  • If your document is still in development, use BuddyPress Docs within your group to co‑author and refine it.
  • Collaborate with other members, track changes, and finalize the draft before moving to permanent storage.

3. Upload to Zenodo

  • Log in to Zenodo.org.
  • Select “Upload” and create a new record.
  • Add metadata:
    • Title – clear and descriptive.
    • Authors – include all contributors.
    • Keywords – to improve searchability.
    • License – choose Creative Commons or another open license.
  • Upload your file and publish.
  • Zenodo will assign a DOI (Digital Object Identifier), making your document permanent and citable.

4. Link Back to the Commons

  • Copy the DOI link (e.g., https://doi.org/10.5281/zenodo.1234567).
  • Go to the Repository Library page in the Commons.
  • Add your document under the appropriate category (Governance, Legal, Operational, Training, Community Contributions).
  • Paste the DOI link or embed the Zenodo widget so members can view the document directly.

5. Announce Your Contribution

  • Post in your group’s forum or the Repository Updates page to let members know about the new resource.
  • Share the DOI so others can cite or reference your work.
  • Encourage feedback and discussion.

Best Practices

  • File Naming: Use clear, consistent names (e.g., “Governance_Framework_v2.pdf”).
  • Versioning: Upload new versions to Zenodo when updates are made; Zenodo keeps all versions linked to the same DOI.
  • Licensing: Always select an open license unless the content requires restricted access.
  • Metadata Quality: The more complete your metadata, the easier it is for others to find and use your document.
